The Digital Intellect — Client Intelligence Platform

This Privacy Policy describes how The Digital Intellect LLC (“we,” “us,” “our”) collects, uses, stores, and protects information through the Client Intelligence Platform (“Platform”).

1. SCOPE

This Policy applies to all authorized users of the Platform — employees and contractors of The Digital Intellect. The Platform processes data related to The Digital Intellect’s managed client accounts and does not serve as a public-facing product.

2. INFORMATION WE COLLECT

2.1 User Account Data

– Name, email address, and role/title.
– Login activity, session timestamps, and access logs.
– In-platform actions and feature usage.

2.2 Client Performance Data (on behalf of managed accounts)

We ingest and process the following categories of client data:

– Web analytics (Google Analytics 4)
– Search performance (Google Search Console)
– Paid advertising metrics (Google Ads)
– Task and project data (ClickUp, Airtable)
– Communication data (Slack channels, meeting transcripts)
– Call tracking data (Call Tracking Metrics)
– SEO metrics (Semrush, Ahrefs)
– Business profile data (Google Business Profile)

2.3 AI Interaction Data

– Queries submitted to the AI chat interface.
– Context data passed to AI models for response generation.
– AI-generated outputs retained for audit and quality purposes.

3. HOW WE USE INFORMATION

User data is used to:

– Authenticate and authorize Platform access.
– Generate audit logs and security monitoring.
– Attribute actions within the Platform to specific users.

Client data is used to:

– Generate health scores, risk flags, and portfolio insights.
– Power AI-generated summaries and recommendations.
– Support account manager performance coaching.
– Build historical performance baselines in BigQuery.

4. DATA STORAGE AND INFRASTRUCTURE

All data is stored on Google Cloud Platform (GCP):

– Cloud SQL (PostgreSQL): Relational application data.
– BigQuery: Analytics warehouse (raw, core, and mart layers).
– Secret Manager: Credentials and API keys (never stored in code).
– Cloud Run: Processing services.
– GCP Region: us-central1.

Data is not stored on local machines, external storage, or third-party servers outside of the integrations explicitly listed in Section 2.2.

5. THIRD-PARTY AI PROCESSING

The Platform uses Google Gemini (Gemini 2.5 Flash) as its primary AI model. Data sent to Gemini for processing is subject to Google’s AI data usage policies. We do not authorize Google to use submitted data for model training. Users should not submit personally identifiable information (PII) that is not required for the intended business function.

6. DATA RETENTION

Retention periods may be adjusted based on contractual or legal obligations.

7. ACCESS CONTROLS

Access to the Platform is restricted to authorized personnel only:

– Role-based access controls (RBAC) are enforced at the application layer.
– Credentials are managed via GCP Secret Manager.
– All authentication is logged and auditable.

8. DATA SECURITY

We implement reasonable technical and organizational measures to protect data, including:

– Encrypted data transmission (TLS).
– GCP-managed encryption at rest.
– Service account-based API access (no shared credentials).
– Error monitoring and alerting via Sentry.

No security measure is guaranteed to be impenetrable. Suspected breaches must be reported immediately to the Director of Technology Enablement.

9. CLIENT DATA OBLIGATIONS

As a digital marketing agency, The Digital Intellect processes data on behalf of its clients. This processing is governed by the service agreements between The Digital Intellect and each respective client. The Client Intelligence Platform is an internal tool and does not share client data with third parties outside of the services explicitly listed in this Policy.

10. YOUR RIGHTS (USERS)

Authorized users may request:
– A copy of their access log data.
– Correction of inaccurate user profile information.
– Removal of their user account upon separation from the company.

11. CHANGES TO THIS POLICY

We may update this Policy periodically. Material changes will be communicated via internal channels (Slack or email). Continued use of the Platform constitutes acceptance.
